SOURCE OF DATA

We have received your personal data from you through one of the recruitment channels (email, job advertisement portals, the WORKEEON.COM website, Messenger, LinkedIn, Signal, WhatsApp).

PURPOSE OF DATA PROCESSING

Your personal data will be processed for the following purposes:

  1.  Participation in the recruitment process for the position specified in the job advertisement, presented by the recruiter during contact with you via LinkedIn, Messenger, WhatsApp, or Signal, on behalf of the Controller and the Employer for whom the Controller provides recruitment services, including: 

a) data specified in your application, in particular such as your first name(s) and surname, date of birth, contact details, education, professional qualifications, employment history, and other data voluntarily provided by you (such as your photo or interests), based on your consent (Article 6(1)(a) GDPR);

b) other information, including information obtained during the interview process (including expected salary and your availability to start work), for the purposes of pursuing your and our legitimate interests (Article 6(1)(f) GDPR);

c) contact details provided by you for identification and correspondence purposes, in order to fulfill our legal obligations (Article 6(1)(c) GDPR);

d) data created by us concerning you (e.g., assessment of your competencies), for the purposes of pursuing your and our legitimate interests (Article 6(1)(f) GDPR);

e) data concerning verification of your statements included in your application and your competencies, including data obtained through competency tests (e.g., information about your knowledge and skills), collected by us or from professional-business portals such as LinkedIn, for the purposes of pursuing our legitimate interests (Article 6(1)(f) GDPR);

f) data contained in references from previous employers or obtained during our conversations with employers (e.g., information concerning your skills), based on your consent (Article 6(1)(a) GDPR);

g) sensitive data concerning your disability, voluntarily provided by you on your own initiative, based on your separate consent (Article 6(1)(a) GDPR).

  1.  Participation in future recruitment processes for various positions, if you have given separate consent for this purpose (Article 6(1)(a) GDPR). 
  2.  Conducting satisfaction surveys regarding the recruitment process, for the purposes of pursuing our legitimate interests (Article 6(1)(f) GDPR). 
  3.  Establishing, pursuing, and defending claims related to recruitment (i.e., performance of the agreement between the Controller and the Controller’s client; establishment, pursuit, or defense of claims arising from business activities related to the contractual relationship), and in the event personal data is presented to a client seeking a candidate through the Controller, for the purposes of pursuing our legitimate interests (Article 6(1)(f) GDPR). 
  4.  Fulfilling obligations arising from personal data protection regulations and demonstrating compliance with these regulations (Article 6(1)(c) in conjunction with (f) GDPR). 
  5.  In the event that we need to repeat the recruitment process, based on our legitimate interests (Article 6(1)(f) GDPR). 
  6.  Sending marketing information regarding products and services offered by Verumqs sp. z o.o. via electronic communication means, in accordance with Article 10(1) and (2) of the Act on Providing Services by Electronic Means, provided that you have given separate consent (Article 6(1)(a) GDPR). 
As a rule, we ask you not to provide any sensitive personal data referred to in Article 9(1) GDPR during the recruitment process, such as information about your health. However, if you consider it necessary to provide such data during the recruitment process, e.g., due to your particular situation, we will ask for your consent to process such sensitive data.

VOLUNTARY PROVISION OF PERSONAL DATA

Providing personal data required under the Labour Code for job applicants (such as first name(s) and surname, date of birth, contact details, or data necessary to perform work of a specific type or in a specific position, including education, professional qualifications, or employment history) is mandatory in order to participate in the recruitment process.

Similarly, providing the above-mentioned data necessary to take actions at your request or necessary for our legitimate interests (such as expected salary and your availability to start work) may also be mandatory.

VERUMQS SP. Z O.O. AS A RECIPIENT OF PERSONAL DATA

The Controller may share your personal data with its clients for whom recruitment processes are conducted. Our clients are obliged to comply with the standards imposed by us regarding the processing of your personal data. If your data is transferred to our client, we will inform you via email.

The Controller may also share your personal data with service providers performing administrative and operational tasks in order to support our relationship with you. Our service providers are obliged to comply with the standards imposed by us regarding the processing of your personal data. They only have access to the data necessary to perform their duties (e.g., IT service providers, accounting service providers).

Personal data may also be shared with providers of IT services and solutions, including video interview services, as well as providers cooperating with the Controller in the assessment and evaluation of your skills and qualifications (e.g., providers of competency tests).

RETENTION PERIOD OF PERSONAL DATA

We process your personal data:

  1.  For the purpose of conducting recruitment for the position specified in the job advertisement presented by Verumqs sp. z o.o. during contact with you via LinkedIn, Messenger, WhatsApp, Signal, and other communication channels used by Verumqs — for a period of 12 months from the date of submission of your application; 
  2.  For the purpose of establishing, pursuing, and defending claims related to this recruitment, including in particular: 
a) claims related to discrimination;

b) performance of the agreement between the Controller and the Controller’s client; establishment, pursuit, or defense of claims arising from business activities related to the contractual relationship where personal data is presented to a client seeking a candidate through the Controller;

for no longer than 1 year, unless processing is necessary for a longer period due to the duration of court proceedings, in which case the data will be processed until the final conclusion of the proceedings.

  1.  In the event that we need to repeat the recruitment process — for a period of 12 months from the date of application submission or completion of the recruitment process. 
  2.  If you have consented to participation in future recruitment processes — until consent is withdrawn, but no longer than 3 years from the date consent was obtained. 
  3.  For conducting satisfaction surveys regarding the recruitment process — for 6 months from the date the information was collected. 
  4.  For presenting marketing offers to you — until consent is withdrawn. 

RIGHTS OF THE APPLICANT

You have the following rights related to the processing of your data:

  1.  You may withdraw your consent at any time if your data is processed based on consent. Withdrawal of consent does not affect the lawfulness of processing carried out before withdrawal. 
  2.  You may object at any time if your data is processed based on our legitimate interests. 
  3.  You have the right to access your data, obtain a copy thereof, rectify it, delete it, restrict processing, and transfer your data. 
  4.  You may lodge a complaint with the President of the Personal Data Protection Office (www.uodo.gov.pl), particularly if you believe your personal data is being processed improperly.

TRANSFER OF DATA TO THIRD COUNTRIES (OUTSIDE THE EEA)

We do not transfer your personal data to third countries (outside the European Economic Area).

PROFILING AND AUTOMATED DECISION-MAKING

We do not make any decisions concerning you solely on the basis of automated processing, including profiling.

USE OF CONTACT FORMS

  1.  If the Controller’s website provides a contact form functionality, users may contact the Controller directly through it. In this regard, the following data may be provided by the user: first name and surname, gender, and contact details (email address, phone number). 
  2.  Information provided through the contact form is collected, processed, and used solely for handling the specific inquiry and providing appropriate responses. 
  3.  Importantly, in order to contact the Controller, the user may be asked to provide separate consent by clicking an appropriate checkbox. Failure to provide consent may prevent the Controller from contacting the user. 

SECURITY OF PERSONAL DATA

We make every effort to maintain our services in a manner that protects information against accidental or intentional destruction or loss. Communication between your computer and our website server during the processing of your personal data is encrypted using SSL protocol.
