SOURCE OF DATA

We have obtained your personal data directly from you through one of the recruitment channels (email, job portals, WORKEEON.COM website, Messenger, LinkedIn, Signal, WhatsApp).

PURPOSE OF DATA PROCESSING

Your personal data will be processed for the following purposes:

1. Participation in the recruitment process

For the position indicated in the job advertisement presented by a recruiter during contact with you via LinkedIn, Messenger, WhatsApp, or Signal on behalf of the Controller and the Employer for whom the Controller provides recruitment services, including:

a) data provided in your application, in particular: first name(s) and surname, date of birth, contact details, education, professional qualifications, employment history, and other voluntarily provided data (e.g. your photo, interests), based on your consent (Art. 6(1)(a) GDPR)

b) other information, including information obtained during the interview (e.g. expected salary and availability), for the purposes of the legitimate interests pursued by you and the Controller (Art. 6(1)(f) GDPR)

c) contact data provided by you used for identification and correspondence, in order to comply with legal obligations (Art. 6(1)(c) GDPR)

d) data generated by us about you (e.g. assessment of your competencies), for the purposes of our legitimate interests (Art. 6(1)(f) GDPR)

e) data relating to verification of your declarations and competencies, including data obtained through competency tests (e.g. knowledge and skills), collected by us or from professional/business platforms such as LinkedIn, for our legitimate interests (Art. 6(1)(f) GDPR)

f) data contained in references from previous employers or obtained during discussions with employers (e.g. skills data), based on your consent (Art. 6(1)(a) GDPR)

g) sensitive data regarding your disability voluntarily provided by you, based on your separate consent (Art. 6(1)(a) GDPR)

2. Future recruitment processes

For participation in future recruitment processes for various positions, if you have given separate consent (Art. 6(1)(a) GDPR).

3. Recruitment satisfaction surveys

To assess satisfaction with the recruitment process, for the purposes of our legitimate interests (Art. 6(1)(f) GDPR).

4. Legal claims

To pursue or defend against claims related to recruitment (i.e. performance of the contract between the Controller and its client; establishment, exercise or defence of legal claims arising from business activity), and in cases where personal data is shared with a client seeking candidates through the Controller, for our legitimate interests (Art. 6(1)(f) GDPR).

5. Legal compliance

To fulfil obligations arising from data protection laws and to demonstrate compliance with them (Art. 6(1)(c) in conjunction with (f) GDPR).

6. Recruitment repetition

In case we need to repeat the recruitment process, based on our legitimate interests (Art. 6(1)(f) GDPR).

7. Marketing communications

To send marketing information regarding products and services offered by Verumqs sp. z o.o. via electronic communication means, pursuant to applicable electronic service regulations, if you have given separate consent (Art. 6(1)(a) GDPR).

As a general rule, we ask you not to provide any sensitive data referred to in Article 9(1) GDPR (e.g. health data) during the recruitment process. However, if you consider such data necessary, we will request your separate consent for processing such data.

VOLUNTARINESS OF PROVIDING PERSONAL DATA

Providing personal data required under labour law (such as name, date of birth, contact details, education, qualifications, and employment history) is mandatory in order to participate in the recruitment process.

Similarly, providing data necessary for actions requested by you or for our legitimate interests (e.g. expected salary, availability) may also be required.

RECIPIENTS OF PERSONAL DATA

Verumqs sp. z o.o. may share your personal data with its clients (employers) for whom recruitment processes are conducted.

Our clients are required to comply with data protection standards imposed by us. If your data is transferred to a client, you will be informed via email.

We may also share your personal data with service providers performing administrative and operational tasks, including IT service providers and accounting service providers.

Personal data may also be shared with providers of IT solutions, including video interview systems, as well as providers supporting assessment of your skills and qualifications (e.g. competency testing providers).

PERSONAL DATA RETENTION PERIOD

Your personal data is processed:

1.

For recruitment purposes – for 12 months from the date of submitting your application.

2.

For legal claims related to recruitment (including discrimination claims and contractual claims between the Controller and its client) – up to 1 year, unless longer processing is required due to ongoing legal proceedings, in which case data will be processed until final resolution.

3.

For potential repetition of recruitment – for 12 months from application submission or completion of recruitment.

4.

If you consent to future recruitment – until consent is withdrawn, but no longer than 3 years from the date of consent.

5.

For recruitment satisfaction surveys – 6 months from data collection.

6.

For marketing purposes – until consent is withdrawn.

RIGHTS OF THE APPLICANT

You have the following rights regarding your personal data:

  1.  You may withdraw consent at any time (without affecting the lawfulness of processing prior to withdrawal) 
  2.  You may object to processing based on legitimate interests 
  3.  You have the right to access your data, obtain a copy, rectify, erase, restrict processing, and data portability 
  4.  You may lodge a complaint with the President of the Personal Data Protection Office (www.uodo.gov.pl), especially if you believe your personal data is being processed unlawfully

TRANSFER TO THIRD COUNTRIES (OUTSIDE THE EEA)

We do not transfer your personal data to countries outside the European Economic Area (EEA).

PROFILING AND AUTOMATED DECISION-MAKING

We do not make automated decisions based solely on profiling.

USE OF CONTACT FORMS

  1.  If the Administrator’s website provides a contact form, users may contact the Administrator directly via this form. The following data may be collected: name, surname, gender, and contact details (email address, phone number). 
  2.  Information provided via the contact form is collected and used solely to handle the inquiry and provide a response. 
  3.  Users may be required to provide separate consent in order to be contacted. Failure to provide consent may prevent contact from the Administrator. 

PERSONAL DATA SECURITY

We take all necessary measures to ensure protection of information against accidental or unlawful destruction or loss.

Communication between your device and our servers is encrypted using SSL protocol.
